Rand Water is currently looking for a Secretary to develop, monitor and implement an effective support and administration system for HR Operations Division.

Minimum Requirements

Minimum Education:

• Matric qualification is essential
• A Secretarial Diploma

Desired Education:

• National Diploma Office Management/ Secretarial Practice or any appropriate and recognized NQF level 6 qualification.
• Ms Office Certificates or Windows Courses

Minimum Experience:

• 2-3 years’ experience in HR or similar environment

Desired Experience:

• 3-5 years’ secretarial/ administration experience
• Valid Code 08/EB driver’s license desirable.

Duties and Responsibilities

Provide a full Administrative and Secretarial Services (including minute taking, compiling monthly and quarterly reports and servicing Committee or Project meetings, filing amongst other duties).

Rendering efficient administrative function for the HR Operations Division, ranging from arranging divisional functions and coordinating facilities for meetings, as well as priority (incoming and outgoing) mail.

Promote effective communication within the HR Operations Division (involving HR Managers and other team members).

Liaise with other Divisions within Strategic Human Capital and outside in order to identify activities that need inter-divisional support.

Maintaining a reliable system for record keeping of documents, which must always be up to date, accurate and readily accessible.

Effective management of diary, visitors, screening telephone calls, preparation of timesheets to payroll, etc).

Maintain a professional image during business interactions as a team member and employee of Rand Water, HR Operations Division and Strategic Human Capital.

Continuously update the Senior HR Manager and the direct reports on pertinent and latest Corporate Communication matters circulated within Rand Water or external matters impacting HR Operations and the organisation.

Assist with the compilation of budget and variance reports, as well as financial commitments made against the allocated budget.

Obtaining quotations and generation of SAP requisitions and receipting invoices for payments within Rand Water policies.

Ensuring timeous delivery of quality goods and materials secured through Supply Chain Management and Petty Cash.

Maintain continuous communication with the office of the Group HR Executive or equivalent designate (i.e. submissions for approval, follow-up feedback, alignment of diaries and Senior HR Manager’s official engagements, etc.)

Perform any other reasonable duties as and when required.
