We have a 3 year fixed term contract for a Bid Coordinator to provide a professional administrative and coordination support to the Bid Office.

Responsibilities:

  • Sourcing of tender opportunities
  • Presentation of new tenders at bid decision meeting
  • Facilitating briefing session attendance, tender documents collection and tendersubmissions
  • Following up on addendums and any additional information from clients
  • Studying tender documents
  • Updating tender schedule on a weekly basis
  • Gather the necessary information from internal and external stakeholders toensure accuracy of completed tender documents.
  • Completion of tender documents
  • Certification and compilation of returnables for all tenders
  • Accurately responding to functionality requirements.
  • Making copies and Scanning tender documents before submission
  • Filing tender opening registers
  • Presentation of tender schedule on a weekly basis to the COO
  • Proper filing of all SCM related documents
  • Ensuring that the briefing session checklist is correctly utilized
  • Compiling tender returnables
  • Customizing CV’s in response to projects
  • Capturing tender opening registers and updating pricing evaluation spreadsheet.
  • Follow-up on submitted tenders and record reasons for non-award
  • Assist with monthly reports
  • Liaising with all the stakeholders involved in the bidding process
  • Assist in any adhoc activities

Requirements:

  • Degree/National Diploma in Supply Chain Management or relevant
  • 3 – 4 years’ relevant experience in the bidding environment
  • Kno
  • Knowledge of PFMA
  • Knowledge of relevant legislations and regulations
