Contract position 6 months – with potential of going permanent
Situated in Rosebank/Killarney.
Working within greater Gauteng area – including travel Nelspruit and also to Durban.
PROPERTY MANAGEMENT
Regular and ongoing inspection of all properties in the portfolio
Identification of and planning for all mechanical and structural repairs of a Capital expenditure nature
Input into the budget required annually for the long term repairs and maintenance items on the properties/buildings
Assisting and coordinating with the Relationship Manager on ongoing Repairs and Maintenance issues materializing on the properties
Responsibility for managing all Capex within budget
PROJECT MANAGEMENT
- Project manage all budgeted repairs and maintenance contracts/jobs/projects
- Project manage all Tenant Installations/renovations/tenancy changes /property enhancements
- Ensure all approved work is monitored for progress and completion according to plan
- Responsible for assessing, checking and verifying that the quoted supply has been completed on time, according to expected quality and within the quote.
- Responsible for reporting on the progress of Capex plan and individual projects
SUPPLIER / CONTRACTOR MANAGEMENT
- Responsible for documenting and scoping all approved and ongoing work to be quoted on and carried out
- Responsible for obtaining quotes and tenders for all work required from contractors, vendors and suppliers
- Assess and adjudicate for recommendation all quotes received from contractors, vendors or suppliers
- Select and manage suppliers, vendors and contractors relationships including negotiating preferred rates for regular service items
- Negotiate selected suppliers to optimize delivery and cost-effectiveness
- Co-ordinate and monitor the onsite activities of contract suppliers
- Ensure regular service providers have SLA’s in place and rates are reviewed and re-negotiated annually against competitive suppliers
- Ensure delivery schedules, quantity and quality criteria are met by all suppliers
- FACILITIES / REPAIRS & MAINTENANCE
- Responsible for the ongoing daily and weekly Repairs and Maintenance of the properties in the region
- Coordinate and lead one or more teams to cover areas of responsibility;
- Ensure efficient delivery of service to tenants and properties through optimal utilization of facility maintenance staff and or outsourcing as required
- Manage, develop and train staff
- Prepare and track facility budget, monitoring expenses and payments
- generate and present regular reports and reviews of facility-related budgets, finances, contracts, expenditures and purchases
- Identify, investigate, develop and implement cost reduction initiative
- QUALITY CONTROL
- You will oversee this responsibility, these deliverables will be carried out by a team member who reports into you Checking that agreed work by staff or contractors has been completed satisfactorily and following up on any deficiencies;
- Implement a quality assurance program that includes processes, audits, quality control, continuous reviews, analysis and action plans.
- Review processes to ensure they are achieving the results you expect and the level and quality of service you are delivering is in fact what is required by the client.
- ADMINISTRATION
- You will oversee this responsibility, these deliverables will be carried out by a team member who reports to you with the following responsibilities:
- Process all admin work, supporting you in managing, monitoring and reporting on work in progress
- Assisting with project management and supervising and coordinating the work of contractors;
- Verifying that payment and invoicing matches contract pricing
- Ensuring spiceworx information is captured accurately, is managed and utilized for reporting
