Client based in the Eastern suburbs seeks the services of Project Manager to manage and execute water techno packages projects.
Responsibilities
a) Assume overall responsibility of projects, from tender award/handover stagethrough to contract execution, including commissioning and take-over and handoverto client/services/operations.
b) Establish and maintain a positive and informative relationship with the client, supplier,sub-contractor, and colleagues.
c) Accept full responsibility and accountability for successful and timeous completion ofall projects including but not limited to contractual, procurement, engineering,technical, and financial aspects.
Authority
a) Identify, monitor, and manage external resources, sub-contractors, suppliers, and site
activities.
b) Monitor and manage internal resources for the execution of projects.
c) If the need arises, manage internal resources for tendering & consulting.
d) Monitor and manage all financial aspects of the project including update/forecasts ofproject financial projections.
e) Approve supplier invoices for payment (invoice acceptance).
f) Approval of manufacture and fabrication drawings.
g) Negotiate Variation Orders up to a value determined by your line manager.
h) Sign Purchase Order Requests up to the value determined by your line manager.
i) Authorize Purchase Orders up to the value determined by your line manager.
Duties
a) Ensure the implementation and compliance with signed client contract specificationsregarding all technical and financial aspects.
b) Ensure effective contractual management of the project through timely delivery ofnotices as may be required under the project contract with regard to variations,extensions of time, and any other contractual requirements.
c) Develop and maintain project budget and populate Estimated at Completion
d) Manage project cash flow to run cash neutral or cash positive.
e) Complete monthly accruals and project update documentation and take responsibilityfor the project budget.
f) Organise contract kick-off meetings with internal participants once an order/contractis accepted, to confirm the areas of responsibility, the milestones, and launchexecution.
g) Define and maintain project schedule/program, including milestones and
deadlines for all parties involved.
h) Conduct and minute Weekly Action Plan meetings (WAP) to ensure the projectdeliverables and financial requirements are communicated and monitored accordingto the set program.
i) Actively follow-up and manage actions as identified in WAP.
j) Participate in the selection/adjudication of sub-contractors and suppliers.
k) Manage the contractual relationship with suppliers and sub-contractors and ensurecompliance with contractual programs, costing, and any other applicable projectexecution requirements.
l) Ensure that all RFQ’s, supplier Purchase Orders, and Sub-Contractor SubcontractAgreements are in full compliance with the Project / Client / Internal specificationsand requirements prior to finalization.
m) Participate in the procurement strategy for the project.
n) Maintain accurate and up to date document and design register for the project.
o) Ensure the application of contractual standards and regulations.
p) Execute all functions and operations pertaining to this position according to companypolicies, standards, and procedures.
q) Travel to client & contractor/fabricators sites – locally and internationally whenrequired to ensure project completion.
r) Adhere to the following guidelines for the successful completion of all projects:-
i. Organise a contract kick-off meeting.
ii. Thoroughly study the contract documentation and understand clearly all
deliverables, obligations and specifications.
iii. Identify & document risk/problem areas and formulate solutions.
iv. Present a preliminary project program (Gantt chart) for discussion andfinalization and track the project according to a set baseline.
v. Identify and manage “scope gaps”.
vi. Schedule and minute Engineering Design Review Meetings in line with theInternal Design Procedure.
vii. Manage the development of process correct P&ID to a frozen state
timeously.
viii. Ensure a frozen P&ID is approved and signed by all relevant personnel priorto the detailed execution of the project.
ix. Follow the set project program conscientiously and give feedback to theProjects Manager during project review meetings.
x. Manage and where required, formulate Engineering packages, fabrication
requests, order requisitions, and other relevant documentation.
xi. Manage the control of drawings and monitor CAD operations pertaining to theproject.
xii. Monitor and manage engineering resources, buyers, stores, workshops, subcontractors,suppliers, and site activities.
xiii. Manage project financial resources and give feedback on variances duringproject meetings.
xiv. Produce accurate estimates of project financial forecasts on a bi-weekly
the basis for monthly review or more frequently as and when requested by
management.
xv. Communicate with the client constantly and maintain an accurate record ofthis.
xvi. Compile engineering documentation based on an approved Master
Document Register (MDR) including but not limited to operating and
maintenance manuals and manage these in accordance with departmental
Quality Management procedures.
xvii. Ensure contract evaluation and close off with feedback to all colleagues in adocumented format.
xviii. Manage hand-over to client / end-user / operations.
Finance and administration
s) Assume overall financial responsibility for the project, including the formulation ofbudgets and adhering to these budgets, also ensuring that all internal and externalresources respect the budgets.
t) Produce detailed minutes on all hand-over, kick-off, technical or contractual meetingsheld for a specific project.
u) Keep all contract/project files and electronic folders in order and up to date at alltimes in line with departmental processes and procedures.
v) Submit and track all external document communication via transmittal notes.
REQUIRED COMPETENCE AND/OR QUALIFICATIONS:
a) BTech/BSc in an appropriate Engineering field at a recognized institution.
b) At least three-five years of experience in project engineering in the same or related industry.
c) Postgraduate course in Project Management an advantage.
d) Commercial experience with bespoke, FIDIC, NEC, and GCC type contracts will be anadvantage.
e) Thorough knowledge of commercial terms.
f) Computer skills (Relevant current software as utilized by the company such as MS Office/ Google Suite applications, etc.).
g) Organisation skills.
