Job Purpose

To be responsible for management of customer service and sales order process from receipt to dispatch in line with ISO 9001:2015 and Good Manufacturing Practices.

Key Responsibilities

Establish and maintain relationships with new and existing clients:

  • This entails: engaging with customers on services offered by Cirebelle, following up on deliveries, surveying of customers, MS Teams Calls with relevant contacts to discuss key issues and developments, build relationships with key contacts from customers, maintain high volume and consistent communication (including orders, samples and cases).

  • Log customer enquiries on the CRM Lead and Opportunity platform and follow up both internally and externally on customer enquiries.

  • Log and load customer purchase orders accurately on ERP and all Operations/Production Dashboards, Order Tracker and Production Forecast as per CRM Sales Management Process, to maintain and publish daily. Use the designated banking website for conversion of foreign currencies to the South African Rand.

  • Communicate customer order and delivery requirements to operations accurately, timeously, and efficiently through: Order Tracker, Production Forecast, Dashboards, as well as e-mails and meetings with Operations; and keep relevant BDM in copy.

  • Help lead Sales and Operations weekly meetings by preparing and presenting the Production Forecast and the Sales Order Tracker.

  • Assist by taking minutes for both the Operation and Sales Meetings.

  • Understand customers basic order requirements and product sales history; and provide feedback to BDM where necessary.

  • Manage customer delivery and service expectations, drive resolution of queries and complaints with Operations, Technical and Sales.

  • Manage and maintain customer forecast, which should balance with Production and Order Tracker.

  • Respond to any online or telephonic sales enquiries.

  • Support BDM in managing customer relationships and service levels

Additional Responsibilities

  • Assist with other functions as requested from time to time.
  • Assist marketing from time to time as required by attending trade shows.
  • Participate in stock taking as required.

Skills and Attributes

  • Matric
  • Minimum 2-year customer service experience, preferably in the Manufacturing Industry, Personal Care Industry or Chemical Industry
  • Advanced knowledge of Microsoft Office programmes and applications
  • Good knowledge of the English Language (both spoken and written)
  • Driver’s License and Own vehicle would be advantageous
  • Good understanding of Customer Centricity and Sales
