Essential Knowledge:
- A Graduate with 1 to 2 years experience in Share Portfolio management/Stockbroking support and administration
- Financial Services Industry
- Understanding of FAIS and FICA legislation
- A strong understanding of:
- Share portfolio management or stockbroking
- Portfolio transfers
- Dividend receipts and payouts
- Corporate actions
- Client statement preparation and distribution
- Computer skills: Microsoft Office (Excel, Word, Outlook and PowerPoint essential) and a specific share portfolio/stockbroking system would be an advantage
Responsibilities:
Portfolio Management Complex Queries
- Interacts on behalf of all the PCS team in solving their complex queries
- Ensures that any complex query is handled professionally to ensure resolution and end to end client service and experience is achieved.
- Professionally communicates with all Portfolio Managers, Client Relationship Managers, Advisor offices and central operations when dealing with issues that impact PCS.
- Handles clients’ service issues independently on behalf of the Portfolio Managers, liaising directly with the clients on behalf of the PM until the issue is resolved and the client is completely satisfied with the response and resolution.
- Interact independently with the PCS administrators or service providers when troubleshooting and resolving issues on behalf of the PMs.
Portfolio Management Client Services and communications
- Recognizing and clarifying the client service issue on a reactive basis when items are raised. Focus on the actual issue and complaint to determine a full understanding of the issue that the client is experiencing.
- Informing, training & educating the CRMs where relevant.
- Work with the central operations team when escalating client services issues, administrative processes and controls on behalf of PCS (including all transactions, queries, reporting etc.)
- Act as a central point of contact for CRMs to refer delicate queries and priority issues for clients, ensuring the efficient and professional resolution of these client queries on behalf of the Portfolio Managers is achieved.
- Adhere to the culture and principles of Treating Customers Fairly.
- Ensure that all client communications are fulfilled professionally.
Operational & Systems – design, controls, issues & escalations
- Assist the Partners Services executive in designing client service process & applying applicable operational processes to improve client service experience throughout PCS
- Assist the Partner Services executive to implement effective controls to ensure correct processes are adhered to by the PMs and CRMs
- Correcting operational processes or highlighting systems issues that are causing client service issues (root cause)
- Logging & chasing all issues with the PCS Administrator or service providers to achieve resolution
Compliance & Legislation
- Assist with Portfolio Management adherence to compliance and regulatory procedures
- Assisting Portfolio Managers with new legislation & adherence to regulation where relevant
- Liaising with the risk and compliance team relating to breaches, PM errors & client complaints
