KEY RESPONSIBILITIES:
Reception Management

  • Ensure cleanliness of reception area and professionalism at the frontline is maintained
  • Ensure that reception is manned at all times
    Switchboard Management
  • Answer incoming calls and direct call to the correct contact person
  • Take messages and deliver messages to the correct person
  • Update the extension data, regions telephone numbers, and on the switchboard
    when required
  • Submit monthly telephone report
    Administrative Support
  • Manage boardroom facilities and equipment
  • Manage and coordinate catering needs
  • Provide administration assistance to finance cluster & other departments as and
    when needed
  • Assist with the sales of tender documents
  • Manage and coordinate paperwork for new vendors

MINIMUM REQUIREMENTS:

  • A Senior Certificate (Grade 12)
  • At least three (3) years’ experience in a similar position
  • Experience working with an electronic switchboard is a requirement.
  • WORKPLACE COMPETENCIES:
  • Ability to demonstrate a high level of professionalism
  • The ability to communicate effectively & excellent knowledge of the English language;
  • Administrative skills
  • Proficiency in MS Word, Excel, PowerPoint, and Outlook.
  • Good interpersonal skills, organizing and time-management skills
