My client based in Mobeni, Durban, is looking to hire an Accounts Assistant/Secretary to support a large property business. To be considered for this role you must have a background in working within the property / rental / leasing market and working in Pastel Accounting. The role has three key areas of responsibilities: Bookkeeping, Personal Assistant /Secretarial duties, and Property Management (rental/). Candidates without a background in accounts or bookkeeping will not be considered. Bookkeeping duties
- Completion of bank reconciliations
- Managing debtors
- Processing creditors
- Applying contractual terms to invoices e.g. monthly rental invoices & electricity bills
- Generating invoices from templates/batch
- Working on the busines banking payment systems
- Assisting with SARS filings, E-filing, PAYE, EMP, UIF and ROE
- VAT uploads
PA & office support duties
- Meeting and greeting visitors in the reception area.
- Answering the phone and directing calls, taking messages
- Creation of documents in Word & Excel (letters, reports, tracking spreadsheets with basic formulas)
- Responding to email queries
- Office filing and organisation of contracts /documents electronically.
- Scanning and printing of documents
- Record and set up reminders for annual requirements/events and end of contracts /lease agreements.
- Booking flights, car hire and hotel accommodation
- Manage the KYC, FICA complete forms ready for signing.
Property management duties
- Debt collection from debtors/tenants
- Recon and load payments for creditors, service providers
- Track regular services, generator, fire sprinklers and inspections.
- Track lease renewals, escalations, and deadlines
Essentials for this role:
- Must have worked as a bookkeeper within a real estate /property rental/property management business.
- Strong Pastel accounting skills with basic bookkeeping & debt collecting experience.
- Excellent MS Word, Excel and Outlook skills
- Ideally you will have worked on Business Banking(FNB, Nedbank, Std bank etc) .
