Provide HR admin support service in all key HR operating processes within a specific business unit (training and development, recruitment and selection, Employee relations, performance management, employee engagement)

Process management

  • Assist in streamlining services to clients (both external and internal) – Assist in fielding queries and complaints to ensure client satisfaction- Process supplier payments and manage records thereof and keep record of invoices ensuring no duplication.
  • Key Performance Indicator (KPI)
  • Adhere and manage the systems used within the business unit- Feedback to applicable staff to ensure the application of correct procedures- Improve processes, turnaround times and controls as far as HR operations are concerned within the area

Reporting

  • Provide the HR Business Partner with monthly/quarterly reports on statistics of;
  • Leave of absence
  • Vacation leave accruals
  • disciplinary hearings and referrals
  • and other agreed HR metrics

to enable effective management, cost containment and decision making
Render support relating to key HR processes such as HR dashboard, annual HR review, compensation planning, communication, performance management, and engagement initiatives.

Daily Operations

  • Provide full HR administration support and ensure awareness around talent, succession planning.
  • Assist with onboarding and preparing appointment engagement packs and induction schedules.
  • Control stationery and office equipment
  • Ensure that all relevant information employee information is captured on HR system
  • Ensure all employee records are scanned and uploaded onto employee profiles on HR system
  • Compile Transfer and termination documentation and ensure system is updated
  • Ensure Payroll input and change administration is done within deadlines
  • Data management must be accurate, i.e. Equity, Staff Movement, IR, Training and Development
  • Training and Development administration, keep records of study loans
  • Responsible for Recruitment Administration, such as background checks, preparation of interview packs for the HR Business Partner, booking venues etc.
  • Awareness around job evaluations, succession planning and talent.
  • Ensure all related documentation is uploaded onto employee file on HR system
  • Retain all personal hard copy files at the centre for storage purposes
  • Screening mail and calls and responding where appropriate.
  • Provide telephonic advice on HR related matters and ensure adherence to policies and procedures
  • Receive and screen visitors e.g. candidates for interviews
  • Drive a culture of performance, efficiency and accuracy as far as HR processes are concerned
  • Co-ordinate travel arrangements, for HR BP travelling on business to the regions when required
  • Ad-hoc projects
  • Ensure that Policies are adhered to

Training
Keeping abreast of own Development and ensure exposure is gained based on development areas

Qualifications
Matric, HR diploma/Certificate or equivalent
Degree would be advantageous

Experience
2 to 3 years’ previous HR experience in rendering support to a business unit
PC Literacy essential (Word, Excel, PowerPoint)
Thorough understanding of Human Resources and BU Operations in the Bank
SAGE 300 experience
