Research Administrator – Durban
CORE FUNCTIONS:
Processing of master’s research topics· Check student’s registration status on Manmis to ensure that it current· Acknowledge receipt of topic submission· Capture topic details onto excel database and Manmis· Allocate topic to research coordinator for marking. Send topic submission to RC via Email, and create a student folder for the RC on e-common· Ensure that allocations are distributed fairly to all RC’s· Follow up on RC’s in instances where feedback has not been provided within the standard departmental turnaround time
Dissertation ratification and compilation of provisional graduation lists
- Download and print all assessment reports
- Follow up with supervisors/ reviewers if there are outstanding reports
- Check for mark discrepancies. If there is a mark discrepancy, prepare the necessary documentation to facilitate re-examination
- On receipt of the student’s hardbound copy, compile the final ratification pack, ensuring that the checklist is complete
- Submit the completed ratification pack to the panel for review and sign-off
- Once all members of the panel have signed the ratification pack, the mark should be captured onto Manmis
- Release student’s final dissertation mark via E-mail (as per the approved quick part)
- All student ratification details must be captured on the excel database
- On completion of a ratification batch, get PG Research Manager to verify all marks on the system
- Provide a final ratification list to the Graduations Department, as per the agreed upon date
Dissemination of hardbound dissertation copies to the MANCOSA library· Identify dissertations which may be disseminated to the library- verify that there are no NDA’s in place
- Maintain an updated list of all dissertations disseminated to the libraries
Internal checking:· Check resubmitted dissertations to ensure that the student has effected all necessary changes as recommended by the internal reviewer
General administration:· Ensure that the topic processing and ratification spreadsheets are updated and saved on e-common· Provide students with templates and resources· Attend to all queries (email, telephonic, face-to-face)· Conduct regular recons with the dissertations administrator· Arrange student- RC consultations· Minute-taking
Research events· Assist with the planning and execution of research events (conferences, colloquiums, etc. )· Perform allocated duties on the day of the event.
QUALIFICATIONS
· An undergraduate degree or diploma
EXPERIENCE AND SKILLS
· At least 12 month’s administrative experience· Experience within a higher education institution advantageous

ADDITIONAL REQUIREMENTS· Must be able to work during weekends when requested
